Invoices

This article explains how to assign transaction fees to your merchants and send the corresponding invoices.

Allocating Transaction Fees

The amount and type of transaction fees in Payrexx depend on the payment provider used. A distinction is made between Payrexx’s proprietary payment solutions (Payrexx Pay and Payrexx Pay Plus) and external payment providers.

Payrexx Pay and Payrexx Pay Plus

For transactions processed via Payrexx Pay or Payrexx Pay Plus, transaction fees are directly deducted from the respective merchant’s account. Your commission as the platform administrator is transferred to your bank account as part of the regular payouts.

External payment providers

For transactions processed through external payment providers, an invoice is automatically generated at the end of each month and sent to the merchant.

You can view an overview of these invoices in your Payrexx account under Invoices.

Platform Invoices

You can view your platform invoices at any time in your back office under the Platform Invoice menu. The details of the platform invoices can also be downloaded in XLSX and CSV formats.

Currently, there are two scenarios in which Payrexx issues an invoice to platforms:

Negative amount for transaction fees (Payrexx Pay / Payrexx Pay Plus)

If a platform has incorrectly configured its fees for Payrexx Pay or Payrexx Pay Plus, negative fees may occur. In such cases, the platform will receive a corresponding invoice at the end of the month instead of a commission payout.

If you, as a platform operator, receive such an invoice and it is not intended, please immediately check your fee configuration under Products > Fees.

Purchase fee for transactions via external payment providers

Payrexx charges a transaction fee for every payment processed through an external payment provider. This purchase fee is invoiced to the platform and can be viewed under Products > Transaction Fees > External Payment Providers.

This fee is always invoiced by Payrexx and is not offset against any commission payout.

Invoices

In the Invoices section, you can find all sent invoices for transaction fees. You can request payment, download, export, or delete the invoices.

Overview

The overview displays all previously sent invoices for transaction fees from external payment providers. The following information and functions are available:

  1. Download: DClick "Download" and choose what your export should include:

    • Last reminder as PDF

    • Last reminder as PDF (compatible with Pingen)

    • Invoices as PDF

    • CSV file with all invoices

  2. Filter: Use the filter to define which invoices are displayed in the list below. You can filter by payment status (paid, unpaid, etc.), date, and country. There is also an option to show only invoices related to disputes.

  3. Invoices: The main window displays the list of previously sent invoices based on the selected filter settings.

Manage invoices

When you hover over an invoice row, the following functions appear:

Show history

Click on the to view the invoice history—such as when it was sent and whether and when reminders were issued.

Copy invoice

Click on the symbol to copy the invoice.

Bank payment received

Click on the icon to manually mark an invoice as paid. This is useful if the merchant did not pay using the methods specified on the invoice, but you received payment from them via another bank transfer. This function is only available for unpaid invoices.

View as a PDF

Click the icon to view and download the invoice as a PDF.

Delete invoice

Click the icon to delete the invoice. This function is only available for unpaid invoices.
